December 2008 Newsletter, vol. 23

Welcome to the first December issue of the OTW Newsletter! We’re constantly on the lookout for ways to keep fandom up-to-date and informed about what’s going on behind the scenes here at OTW, so twice a month, Community Relations compiles updates about what the various committees are working on and we share them here.

All issues of the newsletter will be tagged accordingly, so you can follow our progress chronologically.

Committee Updates!

Academic Journal Update from mafaldastasi

The Academic Journal team is busily reviewing contributions received for issue two (March 2009).

Accessibility, Design, and Technology Update from black_samvra

AD&T are polishing the Translation interface, fixing bugs and generally nudging the Archive along the road to perfection.

Board Update from kellyannbessa

The current Board had our first meeting with the two incoming Board members, and made some headway on our plans for 2009. It’s great having them with us, and can’t wait to put them to work!

Community Relations Update from femmequixotic

Community Relations is preparing for the committee changeover and setting things in order for the new Communications team, in addition to keeping up with fannish inquiries and suggestions via email.

Content Policy Update from ainsley

Content Policy has on its editing hat at the moment! We’re revising various bits and bobs so that the Archive continues to have the best possible ToS and assorted policies.

Development and Membership Update from ignazwisdom

We now have a draft of our fundraising plans for the next year, which will shortly be presented to the Board for their input. Meanwhile, it’s not too late to donate in 2008!

Elections Update from ellen_fremedon

Elections is preparing for the committee switchover.

Financial

Legal Update from killalla

The Legal Committee continues its current projects, along with advice and support to other committees. We also aim to respond as promptly as we can to queries from members and the public as they arise.

Open Doors

No update at this time.

Public Relations Update from jacquez

The Public Relations committee continues to prep for the upcoming transition, as well as handling our regular duties. We have been working with a volunteer designer and hope to have some fresh new materials soon!

Systems

Translations Update from logovo

Translation is currently testing out the Archive and looking for bugs in the latest drupal update to the OTW site.

Volunteers and Recruiting from kellyannbessa

Volunteers has been adding translation and coding volunteers to the Org by the bucketful. If you are interested in any of our projects or committees, please let us know.

Webmasters Update from juniperphoenix

We are continuing to work on website documentation and on researching options for donation and membership processing. We are also working with the Translation Committee to implement Brazilian Portuguese content on the website.

Wiki Update from angstslashhope

The Wiki Committee is light on activity as we take a much-needed rest, so no updates at this time.

A Message from Elections

OTW Board Elections 21 November 2008

The Elections Committee has been developing a set of guidelines for how we’ll handle our annual OTW Board Elections: our goal is to create a process that is transparent and fair to all candidates. The Election FAQ and the 2008 Election Timeline explain how the first set of Board elections will be handled.

The FAQ and Timeline answer important questions like:

  • Who is eligible to become a candidate? Why is committee service necessary?
  • Will candidates’ real name and fannish identity be connected? (For a more extensive discussion on this issue, see our following post ETA See note below.)
  • When is the deadline to become a paying OTW member, in order to vote in this year’s Election?
  • How will votes be counted? Why is the OTW using cumulative voting?

We’re hoping this will all work well, but we will be watching to see how it goes and how we can improve these policies. If you have comments or suggestions for how we could make them better for next time, please share them with us. Representatives from the Elections committee are on hand to answer questions left as comments here; private questions may be sent to the elections chair.

Academic Journal Update from mafaldastasi

The TWC academic journal has added Rebecca Lucy Busker to the Symposium team. Welcome, Lucy!

November 15th marked the deadline to submit contributions for the second issue of the TWC academic journal, on the theme of gaming. The TWC team is now busy going through the editorial process; issue two will be out by March 2009.

Accessibility, Design, and Technology Update from black_samvra

The war of human versus machine continues… AD&T are in the middle of a battle against spambots whose initial battering attack did not crash the Beta Archive (Yay!) We are also working our way through a bunch of bug fixes, getting the Translation interface ready and generally being busy.

Board Update from kellyannbessa

The Board continues to work on the transition to our second term. Following a break for the American Thanksgiving holiday, we will be meeting with our two new Board members to discuss 2009!

Community Relations Update from ciderpress

ComRel has been assisting Elections, fielding questions from the internets, and documenting for the transition to a second term and the upcoming merger with PR to form an all new Communications team!

Content Policy Update from ainsley

We are still soliciting feedback on the Assorted Policies and FAQ we posted two weeks ago. This portion of the ToS includes detail on fannish next-of-kin, orphaning, and Open Doors, as well as a couple of other Archive features. Go forth and inspect!

Development and Membership Update from ignazwisdom

DevMem update from Ignaz: Our last donation drive was in October, and after adding everything up, we made $2338 in donations and welcomed 31 new OTW members. We really appreciate the support we received, especially with everyone contributing to many important causes that month. (I hear there were some elections in a few different places? Who knew!) We also debuted our Amazon.com widget, as well as our new option for recurring donations, and we would like to thank everyone who signed up to give a little bit to the OTW automatically each month. If you are interested in recurring donations, please visit the How You Can Help section of the OTW website.

Elections Update from ellen_fremedon

Elections has been working to codify for next year’s committee members all our plans and policies for running a contested election. Institutional memory FTW!

Financials from sandersyager

The sharks of FinCom are continuing to work on next year’s budget and making sure the bills are paid.

Legal Update from killalla

The Legal Committee continues review of the organization bylaws and the related sections of the FAQ with regard to elections procedure. And as ever, we provide advice and support to other committees as needed, in addition to responding to queries from members and the public as they arise.

Open Doors Update from Francesca Coppa

Open Doors is in conversation with various university and research libraries in the hopes of finding a partner for a future zine archive.

Public Relations Update from jacquez

The PR committee continues to prepare for the new Communications committee merger. We are also helping field interview requests and working with a designer on some new materials for the organization!

One word: Archive! This week we begin poking around the translation features of the test archive.

Vidding History Project Update from Francesca Coppa

The Vidding History project is brainstorming its plans for 2009, which include not only a project page for the MIT/NML vids about vidding produced by OTW but also a home for the Oral History project and…who knows, maybe, just maybe a vid archive. Stay tuned!

Volunteers and Recruiting from kellyannbessa

Volunteers & Recruiting has added a new member, ainsley, who has been with the Org for a while now, working on the Content committee. We’re happy to have her join us for the next term a little early so she can help us with the transition. Welcome, ainsley!

Webmasters Update from juniperphoenix

We continue to work on our website documentation project. We are also working with the Development & Membership committee to research options for improving donation and membership processing.

Wiki Update from angstslashhope

The Wiki Committee continues to work on the population of Fanlore, as well as soliciting feedback from users on developments and engaging in discussions between users on Talk pages throughout the wiki. We’ve also set up our Gardeners mailing list, which is trundling along happily.
